Gmail - Create the admin gmail account

If the customer doesn't have an adwords account that is managed by us, you will need to create a new google account.
This will receive payment notification emails and forward them to us.

First Name: "Kentec"

Log into Gmail and add forwarding rule

(so that gerry will get billing notifications)

Settings (cog icon) > Forwarding and POP/IMAP > Forwarding
[Add a forwarding address]
Check "Forward a copy of incoming mail to" and enter "gerryg@spiderscope.com"
This will send an email to Gerry with a code that we will need to enter in order to complete the rule.

Welcome to the Admin Console

Activate Gmail for {domain_name}

Click 'Activate'
- add all the MX records EXACTLY as per their recommendations
- also add the verification record as an MX record
- optional - test the MX setup using the check MX tool
- check the domain has the nameserver added as a DNS record, not just in the nameservers control panel (it will fail the check if this is the case)
- click 'Activate Gmail'
- takes 2-3 min or up to 60 min, if it doesnt work and all the settings are 100% correct you can flush Google's DNS cache using this tool.

Change Billing Address

- Goto Billing > Subscriptions > Actions > "Access billing account"
- Under Settings > Manage Settings > Payments Contacts
- Add a new contact (spiderscope{customer_number}@gmail.com) - make this receive "All payments email"
- You will need to log into this account and accep the invite
- Existing contact "xxxxx@domain.com" change to "No payments email

 

Downgrade Package

- The default package is the business account, which offers services we dont need for a basic email setup and costs more, so this needs to be downgraded...
- Goto Billing > Subscriptions > Actions > "Downgrade to G Suite Basic"
- Click and accept

 

Note

Some email software packages (Outlook on Office 365) will not allow a user to connect to the Gmail mailbox even if all the settings are correct.
There is a security setting at the G-Suite administrator level that is called 'Allow less secure apps' You will need to turn this on which enables the option on the clients settings. After this the clients will need to enable it on their own accounts - warning: this setting took two attempts for it to be remembered by Google, so double check it!
